This Privacy Policy explains how MotionXY collects, uses, shares, and protects information when you use our iOS app, website, and related services (together, the “Services”). By using the Services, you agree to this Privacy Policy.
1) What MotionXY does
MotionXY is a sports video recording and analysis app with private, invite-only collaboration (“Spaces”). You can record or import videos, annotate and analyse them on-device, and sync/store content in the cloud so it is available across your devices.
2) Information we collect
We collect information in three broad categories: (A) information you provide, (B) information generated through your use of the Services, and (C) information collected automatically for security, reliability, and analytics.
A. Information you provide
- Account information: email address and account credentials (email/password), and optional profile information such as display name and profile photo.
- Space and collaboration information: information you provide when you create or manage Spaces (e.g., Space name, membership roles).
- Support and communications: information you choose to send us (e.g., emails to support/privacy, feedback, bug reports).
B. User content and collaboration data
- Videos and media: videos you record in-app and videos you import (from Photos or Files).
- Analysis and annotations: annotations, markings, metadata you create, and analysis outputs/results (generated on-device).
- Space activity data: invite records, membership changes, and activity items (e.g., invites sent, results published).
- Calendar events (Spaces): calendar events created/managed within Spaces.
C. Information collected automatically
- Device and app information: device model, OS version, app version/build, language/region settings.
- Usage analytics: information about how the app is used (for example, feature usage and in-app events). This is used to improve the product and understand performance.
- Automated security signals to prevent abuse: signals used to protect the Services and reduce fraud/abuse.
- Server and service logs: basic operational logs (for example, request timestamps and service events) generated by our backend and providers to operate and secure the Services.
3) Permissions (Photos, Files, Camera, Microphone, Notifications)
MotionXY may request the following iOS permissions:
- Photos: to import videos from your photo library.
- Files: to import videos from the Files app (including iCloud Drive or other file providers you choose).
- Camera: to record video in-app.
- Microphone: to record audio with video (if you use recording).
- Notifications: to send local notifications (and, where enabled, push notifications) for service updates and reminders.
You can change permissions any time in iOS Settings. If you deny a permission, related features may not work.
4) User responsibilities and consent when recording others
MotionXY is a coaching and analysis tool. You are solely responsible for ensuring you have all necessary rights, permissions, and lawful basis to:
- record, upload, analyse, store, or share videos and audio of other people;
- invite other people to a Space, and share content with them; and
- process any personal data contained in your content (including voices, faces, names, and other identifiers).
This is especially important when recording minors. You must obtain appropriate consent from a parent/guardian and/or comply with your organisation’s safeguarding policies and applicable law. Motion Exclusives Ltd is not responsible for unlawful recording, sharing, or processing performed by users.
5) How we use your information
We use information to:
- Provide and operate the Services
- Create and manage your account
- Record, import, store, sync, and play back videos
- Save annotations and analysis results
- Enable Spaces features (private invite-only collaboration), including membership, invites, activity, and calendar events
- Improve and maintain the Services
- Understand usage and feature performance via analytics
- Troubleshoot issues and improve reliability
- Security and safety
- Protect accounts and prevent abuse/fraud
- Enforce our terms and protect the rights and safety of users and the public
- Communicate with you
- Send essential service emails (verification, security, transactional)
- Send Space-related emails (e.g., invites sent by Space owners/admins)
- Send marketing emails (where permitted by law, and with opt-out controls)
6) AI / analysis processing
MotionXY’s analysis features run on-device. We do not require sending video frames to a third-party AI processing service for analysis.
7) Face Data, TrueDepth, ARKit
MotionXY does not use Apple’s TrueDepth camera system, ARKit face tracking, Face ID data, or collect “Face Data” (such as facial geometry or detailed facial movement maps) as part of its analysis.
If we ever introduce features that use face tracking or collect Face Data, we will:
- update this Privacy Policy with a dedicated Face Data disclosure; and
- provide any required notices and controls under applicable law and platform policies.
8) Where your data is stored (on-device and cloud)
MotionXY supports both local storage and cloud storage:
- On-device: content may be stored locally in the app’s sandbox on your device.
- Cloud: when cloud features are enabled/used, we store content and data with cloud hosting and database providers, including:
- Videos/media (cloud object storage)
- Metadata, Spaces data, invites, activity, calendar events, annotations/results (cloud database services)
There is no iCloud sync feature for MotionXY at this time. Cross-device availability is provided via our cloud backend.
9) Emails and communications
We send emails for:
- Authentication and account lifecycle: verification and related emails.
- Spaces invites and Space-related actions: invites may be sent when a Space owner/admin invites you by email.
- Marketing: product updates and promotional communications (where permitted).
Email delivery may be handled by our authentication and identity service providers, and/or email delivery service providers used to send transactional, Space-related, and marketing emails.
You can opt out of marketing emails at any time using the unsubscribe link (where provided) or by contacting [email protected].
10) Payments and subscriptions
Subscriptions are live and processed by platform payment providers (for example, Apple’s in-app purchase system). We do not receive your full payment card details. The platform may provide us with subscription status and related information necessary to enable your access.
11) Sharing and disclosure
We do not sell your personal information. We share information only as needed to operate the Services, comply with law, and protect users.
A. Service providers (processors)
We use third-party service providers to run the Services, including:
- Cloud hosting and database providers
- Email delivery service providers
- Payment and subscription processing providers
- Analytics providers
- Security and fraud prevention providers
These providers process data under their own terms and security measures, and on our instructions where applicable.

B. Legal, security, and compliance
We may disclose information if we believe it is reasonably necessary to:
- comply with law, regulation, legal process, or government request
- enforce our terms and policies
- detect, prevent, or address fraud/security issues
- protect the rights, property, and safety of our users or others
C. Business transfers
If Motion Exclusives Ltd is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction (subject to applicable law).
12) Data retention and deletion
A. Deleting content
You can delete your videos and content in the app (where deletion tools are provided). Deletion removes content from your account and associated cloud storage, subject to reasonable processing time and operational backups.
B. Account deletion (in-app)
If you created an account in MotionXY, you can delete your account and all associated data directly within the App’s settings. Account deletion is intended to permanently remove your account and associated cloud data, subject to reasonable processing time and limited operational backups.
C. Retention during and after subscription
- While your subscription is active, we retain your content to provide the Services.
- If you cancel, we retain your cloud content for up to 12 months after cancellation. During this period:
- you can still view your existing content and bulk-export videos to your device (where the feature is available),
- but you may not be able to create/record new content or use subscription-gated features.
- If you do not resubscribe within that 12-month period, your cloud content is permanently deleted.
We may retain limited information longer where required for legal, accounting, dispute resolution, or security reasons.
13) Security
We use reasonable technical and organizational safeguards designed to protect your information. No system is perfectly secure; you are responsible for keeping your login credentials confidential and using a strong password.
14) International users and transfers (UK, EU, USA)
MotionXY is offered in the UK, EU, and USA. Our service providers and infrastructure may process data in countries other than where you live. Where required, we rely on appropriate safeguards for international transfers (such as contractual protections).
15) Your privacy rights (UK GDPR / EU GDPR)
If you are in the UK or EEA, you may have the following rights (subject to legal limits):
- Access: request a copy of your personal data
- Rectification: request correction of inaccurate data
- Erasure: request deletion of your data
- Restriction: request we limit processing
- Portability: request your data in a structured, commonly used format
- Objection: object to certain processing (including certain marketing)
- Withdraw consent: where we rely on consent, you can withdraw it

You also have the right to lodge a complaint with your local data protection authority (for example, the UK Information Commissioner’s Office).
16) US privacy disclosures
Privacy rights vary by state. Where applicable, you may have rights to access, delete, or correct personal information, and to opt out of certain uses. We do not sell personal information and do not use it for cross-context behavioral advertising in the way those laws typically define “sale”/“sharing”.

17) Children’s privacy
MotionXY is not intended for children under 13 (or the minimum age required by your country). We do not knowingly collect personal information from children without appropriate consent. If you believe a child has provided personal data, contact [email protected] and we will take appropriate steps.
18) Tracking, advertising, and future changes
- No sale of data: We do not sell your personal information.
- Advertising: MotionXY does not currently run third-party advertising. If we introduce advertising in the future, we will update this Privacy Policy and, where required, provide additional notices and choices.
19) Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated version on our website and update the “Effective date” above. Your continued use of the Services after changes take effect means you accept the updated policy.
